Storing names in categories Microsoft Outlook 2007

    After you give distinct names to your categories, you can assign names to one or more categories to help you search through your data.

    To organize names into categories, follow these steps:

    1. Choose Go Storing names in categories Microsoft Outlook 2007Contacts.

    2. Choose Actions Storing names in categories Microsoft Outlook 2007Categorize.

    A menu appears listing all your available categories.

    3. Select the check box of a category.

    Repeat this step for each additional category you want to assign the contact.

    Viewing names by categories

    After you assign names to different categories, you can view them organized in different categories by following these steps:

    1. Choose Go Storing names in categories Microsoft Outlook 2007Contacts.

    2. Choose View Storing names in categories Microsoft Outlook 2007Current View to display a list of different categories, such as Phone List or By Category.

    3. Click By Category.

    Outlook displays your contacts organized into categories, as shown in Figure 14-7.

    Sharing Contact Information

    You may have the name and address of someone like the president and want to share this information with someone else. You could just print this data and force that other person to retype all this information back into their com­puter all over again.

    Obviously, this is a clumsy solution, so Outlook offers another way to share your contact information with others:
